Enrollment
To begin
the enroll process, click the Enroll menu option. The first window to open is
titled, Enroll Type. On this window the user must select the process that
will be used to enroll evacuees.
The
Express option is used where the evacuee is NOT part of a family group and
HAS a driver's license that will be used to enter the evacuee's information.
It would typically be used when processing evacuees in two lines, one for
solo evacuees with a driver's license and another line where evacuees who
don't have a driver's license in there possession that could be swiped, or a
part of a family group will be processed.
The Groups
option is used when more than one member of a family is present and they will
be enrolled at the same time. Using this option causes the application to
establish the first person enrolled in the group as the Group Leader.

The
windows for Express Enrollment and Group Enrollment appear identical.
The only difference in the windows is on the Group Enrollment Window the
Check Box for Group Leader is checked by default
If the
evacuee has an identification card that contains a mag
strip, the attached mag strip reader can be used to
input his/her information. Simply pass the driver's license through the mag strip reader. The user will notice that the Group
Leader box is not checked and that the default Medical Category of '0' has
been entered. If the Medical Category for the evacuee needs to be changed
simply use the down arrow and select the correct category.
Attach an
EVAC Tracking wristband to the evacuee's wrist then place the cursor in the
Wristband field and scan the wristband. To record the entered information,
click the OK button. The fields will clear and the next evacuee can be
enrolled following the same process
As
previously mentioned, when the Groups options is
used the first evacuee entered will be entered as the Group Leader. When this
option is selected and the OK button is tapped the Enroll Leader Window
opens.
The Group
Leader's information can be entered by either swiping his/her driver's
license or by manual entry. There will be a check mark in the Group Leader
box, and by default the Medical Category of '0' will have been selected. If
the Group Leader has a driver's license it can be swiped to enter his/her
information. If necessary use the dropdown list to select a different Medical
Category.
Attach an
EVAC Tracking wristband to the evacuee's wrist then place the cursor in the
Wristband field and scan the wristband. To record the entered information,
click the OK button.
After
tapping the OK button the Enroll Group Window appears showing the ID and name
of the Group Leader. At the bottom of the window users will find buttons to
enter dependents and pets. Simply tap the appropriate button and fill in the
required information. Click the OK button to save the entered information. As
each family member or pets in entered and the OK button is clicked the user
is returned to the Enroll Groups window. Entries made for dependents and pets
will now be added to the list of group members and showing their ID number.
Repeat
this process until all the family members and pets have been entered then
click the OK button on the Enroll Groups window to save the entire group and
close the window. The user is then returned to the Enroll Leader window where
the next family group can be enrolled.
